POSITION: ADMINISTRATIVE SECRETARY

FUNCTION:
The Administrative Secretary provides administrative/secretarial services for the pastors and ministries of Zion Church. The Office Administrator is often the first contact many have with Zion Church and plays a key role in reflecting the vision of Zion. The Administrative Secretary is the office resource hub for pastors, ministry leaders, and congregants of Zion Church.

RESPONSIBILITIES:

The Administrative Secretary shall:

  1. Support the vision and values of Zion Church and relate well to both congregants and community members.

  2. Be the central office resource person.

  3. Able to identify office areas needing improvement and be a solution resource.

  4. Administer “Planning/Church Center”

  5. Monitor church events calendar, scheduling volunteers (worship, ushers, volunteers etc) in collaboration with ministry heads.

  6. Assist with booking the church facility and monitor potential schedule conflicts.

  7. Prioritize creative communication and promotion of Zion events through the use of various social media platforms, the Zion website, E-newsletters, church displays, etc.

  8. Monitor and Maintain online platforms (ie: Facebook, Instagram, website)

  9. Maintain and Administer Plan to Protect Files.

  10. Be knowledgeable of the content and related responsibilities in the following policies:

    1. Confidentiality Policy

    2. Collection and Use of Information Policy

    3. Plan to Protect Policy

    4. Conflict of Interest Policy

  11. Facilitate the smooth function of the church office.

  12. Prepare, compile and distribute the Annual Report.

  13. Other duties as may be required.

HOURS:
20 hrs/wk (4 days/week)

ACCOUNTABILITY:
The Office Administrator is accountable to the Lead Pastor.

  6. Works well under pressure.

  7. Respectful of rules of confidentiality

  8. Communicate well with a priority on building relationships.

  9. Strong identification with the mission, vision and core values of Zion Church.

  10. Technical skills

    1. Proficient with Social Media and online platforms.

    2. Proficiency in Microsoft Office.

    3. Graphic design interest/skill

    4. Experience in record-keeping and office management

    5. Aptitude to learn new technologies.
